BTEC Business Quiz for 6th Form Students

Type of event: Quiz & Raffle

Attendees: Students and Staff

Cost: Budget of around £50

Promotional Methods: Social Media and Advertisement around school (Posters/Emails)

Fundraising: Kids inspire

Rationale:  When planning our event we understood that it was really important to make sure that it is likely to succeed. This is because any event needs to be successful and to have positive outcomes. Making sure that an event is feasible requires the event organiser to think about the idea behind the event. The things constricting the event going ahead and the success factors to show if it has been successful also need to be outlined.

When starting the planning process we created a list of different events that we could create. This includes making a mind map of different events in order to be able to see the events clearly in order to think about positives and negatives of them.

After deciding that we wanted to do a Quiz Night/ Raffle we needed to think about the purpose of the event. The purpose of the event is very important and influences how and when the event is held and also the amount of income generated from the event. Events can be held for many different reasons and the purpose of the event influences the planning at every stage. For our quiz we have decided to use it for charity fundraising for kids inspire. The reason that we chose to use this event to raise money for a charity is because we wanted a purpose to have created the event and also this would entice people to come as they would want to help raise money for this charity.

After understanding that we wanted the purpose of the event to raise money for a charity we needed to think about the aims and objectives of the event. Aims and objectives are central of most aspects of business as they are the driving force behind what happens with the business. The aims are the overall goals of the event and the objectives are the list of plans that help achieve those aims.

Aims

Objectives

Raise over £50 for Kids inspire

Sell 4 teams tickets 2 weeks before the event

Get at least 7 teams for the quiz

Print of posters to advertise in main areas of the school by 2 weeks before the event

Successful raffle take place

Keep posting daily reminders of the event the week coming up to it

The reason that we chose to use these aims was to be able to have overall goals to reach for the event. The reason that we chose to have a low amount of money to raise for our event is because we are only charging around £5 per team and therefore we do not believe that a lot of money will be raised for the charity, by choosing a low amount we will easily be able to beat our target. Another aim we have chosen is that we needed to get at least 7 teams for our quiz. On the sign up board we had the maximum of 9 teams due to the fact that there would not be enough tables and chairs in the area we chose for more than 9 teams. If we managed to get 7 teams this would also aid our want to raise £50. Finally the last aim we wanted to have for the event was to have a successful raffle due to the fact that we wanted our attendees not to get bored throughout the event so therefore the raffle could be used to entertainment between the quiz’s.

The reason that we chose to use these objectives was to be able to link them to my aims in order to achieve them. We decided that we wanted to have at least four teams signed up two weeks before the event because then this could entice other group to sign up in the following weeks. The reason that we chose to advertise posters in main areas of the school latest 2 weeks before the event is because this will also entice people to sign up for the event and will remind people who have already signed up of times and entry fees. Finally the week coming up to the event we wanted to post daily reminders on our social media in order to entice people to sign up last minute and remind them that it is coming up.

The key success factors that we used in order to make sure our event runs smoothly included:

1. Planning

Success within the field of event marketing largely relies upon planning. During this phase, we needed to create a timeline, choose a location, set a budget, assign everyone different roles and come up with a full design brief.

2. Marketing

Attendance at out event relied on getting the message out in the first place and even at events Social media publications could be excellent places to advertise our event and generate a buzz.

3. Design

Another important success factor is the design of our event. We wanted to make a positive impression on the attendees, while also conveying standards and generating increased awareness of who we are helping with this event.
